Rule: Gmail

Why Gmail rejects the file

  1. The limit counts all attachments together. 25 MB is the total for one email, not per file. Five phone photos can already be too much.
  2. Gmail switches to a Drive link. Above the limit Gmail offers a Google Drive link instead of an attachment. Some recipients and forms need the actual file.
  3. Work and school accounts differ. Google Workspace administrators can set their own limits.

How to make it fit

  1. Drop the largest file first and read the size check.
  2. Choose "Make it fit" or set your own limit if you send several files (for example a fifth of the total each).
  3. Attach the smaller copies to your email.

Pitfalls

  • The recipient's mailbox may accept less than Gmail sends. If an email to a company bounces, ask for their limit.
  • Executable files cannot be attached at all, whatever their size.

Questions

Is it better to send many photos as one PDF?

For documents, yes: "Photos or scans to PDF" makes one file that is easier to open and usually smaller than the separate photos.

Does shrinking change the photo?

It reduces pixels or compression. Check small text and faces before sending.
